A conference is a set of learning activities (which may be Live, Independent Study and/or Blended) by different presenters on diverse topics that are combined into a single program by the program provider.

CONFERENCE ACCREDITATION

A conference accreditation is issued to a conference organization for the accreditation of one or more sessions to be presented at a conference.

A single CCCEP accreditation number is awarded for the conference event. This accreditation number is applied to all sessions accredited under the conference application for accreditation.

The application for conference accreditation will be made by the conference organizer.

  1. Only the organization that is hosting the conference and considered the “conference organizer” may apply for a conference accreditation.
  2. A learning activity that is accredited by CCCEP in its own right may be presented at a conference. The CCCEP number assigned to the session when the learning activity is presented at a conference will be the unique accreditation number of the individual learning activity and not the conference number.

The accreditation review process is the same as for a new learning activity, except for the following:

  1. Exemption from Expert Review. A conference is exempted from expert review.
  2. The conference organizer is responsible to ensure that conference presenters are aware of and follow the standards for clinical relevance, unbiased presentation, completeness, accuracy and references.

CONFERENCE APPLICATION OPTIONS

Option 1: Submission of Presentation Documents (PowerPoint, Text, etc. 

  • Provider submits a copy of the presentation documents, plus disclosure and other forms.

Option 2: Post-Submission of Presentation Documents

  • Prior to conference, conference organizer submits conference schedule and a detailed presenter bio, learning objectives session abstract, and (if possible) references for each session;
  • After the conference, the conference organizer submits the presentation content or slides to CCCEP for post-review within 30 days of the conference dates.
  • If there are serious issues with inaccurate information and bias in a presentation, the conference provider may be requested to advise all participants of the concerns regarding the presentation. The accreditation for the session may be withdrawn in the most serious instances.

CONFERENCE APPLICATION PROCESS

1. Prepare and compile the learning activity documents:
   1.1. Conference Information
        1.1.1. Option 1: Conference schedule and text/content for each session, that includes learning objectives and references
        1.1.2. Option 2: Conference session and Presenter bio, Learning objectives, abstract, and (if possible) references for each conference session
   1.2. Conference Evaluation form 
   1.3. Statement/Letter of Attendance (sample)
   1.4. Information available to Learners (e.g., brochure, promotion information)

2. Prepare and compile the required forms:
   2.1. Disclosure forms
   2.2. Author/Presenter/Provider Declaration/Checklist (Required for Conferences)

   Suggestion 1: Combine your files into one or two Zip files.

   Suggestion 2: If your file size exceeds 20 or 30 GB, contact CCCEP to discuss alternate ways of submitting your documents.

3. On the CCCEP website, go to the member LOG IN area. Log in using your Provider (or accredited provider) User Name and Password.

4. In the Provider Work Area, click on the “Upload Activity” button to open the Accreditation Application Form.

5. Complete the Accreditation Application Form
   5.1. Select “Conference” for the Application Field
   5.2. Select either “Regular” or “Fast Track” for the Type of Application

6. At the end of the form, upload your learning activity documents and forms. There is provision for uploading only 3 separate documents.

7. Pay the Accreditation Fee using PayPal or indicate alternate fee payment method.

8. Check your Provider Work Area. Your conference application should be listed in your Provider Work Area. If not, contact CCCEP.

Within 30 Days after the Conference submit a copy of the text/PowerPoint for each presentation/session.

CONFERENCE REVIEW TIMELINE

CCCEP provides a regular review and a fast track review for conference accreditations.

Regular Review:

  • Initial Review – identification of changes needed (if any) – 2 weeks (3 weeks if greater than 10 CEUs)
  • Revisions and Final Approval – 1 week from receipt of changes

Fast Track Review

  • Initial Review – identification of changes needed (if any) – 7 days (10 days if greater than 10 CEUs)
  • Revisions and Final Approval – up to 2 days from receipt of required changes
